Email Policy Compliance Control
The MAILpolicy control centre parses every incoming and outgoing email. If an email is identified that breaches your policies, MAILpolicy automatically invokes the relevant engine to process the email before sending to the recipient, bouncing back, keeping in quarantine, deleting, and alerting the relevant managers. These include Email Classifier, Capture Engine, Monitor Engine, Approval Engine and Statistical Engine.

Email Policy Capture
Customers can apply rules to company, department or individual on both incoming and outgoing emails based on header, subject, content, and attachment type. The engine will capture and retain the emails accordingly for manager review. It also provides an email audit trait and external email backup for SMTP mail servers.

Email Monitoring Policy
Provides a flexible monitoring tools for manager to keep track of company’s email communication. Policy based email retention and classification to individual mail sub-folders with hierarchy structures and access right control, allows monitoring responsibility assigned to different managers. All emails flow through the MAILpolicy gateway can be classified and grouped by individual, domain, subject and content. It also provides managers an extra tool to evaluate staff’s performance.

Email Approval Process
Allows manager to inspect email with sensitive content before leaving the perimeter of the network. Emails can be classified by sender, recipient, subject, body content, and attachment type. The engine will determine if an outgoing email requires approval and route it to the authorized person instead of leaving the gateway unaware.

SMTP Policy
Email users can be classified into different groups to restrict SMTP traffic to undesired destination. For instance, internal users are limited to email communication within the company. The control can be fine tuned by traffic between specific domains and email addresses. Summary of individual email pattern will be provided for administrator to analysis network usage.

Attachment Policy
A convenient and secure way to manage file attachment to email. File attachment will be detached and kept in the gateway store according to headers, email content, message size, and file type. Email recipient can download the file from this gateway by opening the URL link added to the email. It could avoid mail non-delivery because of size limitation imposed by many email servers. Furthermore, it supports SSL and passwords protection to ensure that only the intended recipient can open the file.

Mail Traffic Monitoring
MAILpolicy collects all mail traffic information and feedback to the statistic engine to analyze the data. Graphical presentation together with summaries of individual email pattern will be provided. System administrator can easily identify any abnormal usage of the network resource.
